  • 1.  Removing previously issued sheets from set.

    Looking for some best practice advice on contract document drawing revisions. On occasion we will revise a drawing to remove all scope of work that was on that sheet. We are dealing with clients that have online document management systems that may or may not support the effective removal of the previously uploaded sheet if the entire sheet gets removed instead of revised. 

    It has been suggested that we upload a blank sheet that we sign and seal indicating that the work related to that sheet has been removed. I am questioning if we need to sign and seal as opposed to just uploading the blank sheet with a note about the removal of work. 

    The argument is that we are signing and sealing to indicate the change in the work, and issuing the blank sheet to make sure that the online document set gets updated with the blank sheet.

    Perhaps you should X out each drawing on that shee and add the word OMIT. Note which change order includes the omitted work. That may be clearer than a blank sheet.

    Another suggestion which may follow more conventional practice is to cloud and number all of the drawings on the sheet with a note that the cloud/number represents voided or removed scope.

    When was the portion of the work removed from the project scope?  

    Was the mechanism a post-bid addendum or a Change Order?

    I agree with others that the original sheets should remain in the set with clouded notes memorializing that the change occurred.

    The easy way to address this is to either cloud and note all items being removed or indicate , perhaps in large print across the page  "this page is deleted in its entirety". You will also need to cross coordinate with any other pages that are affected or reference that page as well.

    James, one way to handle and communicate this is to issue the sheet with stamp/signature and in the title block revisions/description column go ahead and document the revision number, date and remark "Sheet Deleted," in the title block revisions remarks column.  In the field of the sheet, I would put a small revision triangle with the revision number to correspond to note in the title block revisions remarks column - no cloud.  Add the change in the Drawing List with the revision triangle.  Issue the sheet one time only.

    That should take care of future document issuances that don't include that sheet.  It wil also be clear for a final record drawing set.

    I especially recommend this approach or something like it if the set has to go to permitting authority as a permit revision.

    I agree with most of the comments above. However, I never seal drawings, unless required by the AHJ or contractually via the O/A Agreement - especially a blank drawing.

    As said, I would recommend an X through the entire drawing, cloud the entire drawing with a Revision triangle and note in the Revision title block that "Sheet deleted in its entirety" and, if replaced, add, "and replaced with Sheet#, dated, 00/00/0000".

    James,

    As with the others here, I tend to put Xs in the "active" portion of the sheet with text in the middle saying that all things were removed from scope, by whom and date. The sheet is already dated and the delta should also show info in your titleblock. Let us know how you end up solving it and if you had any pushback.
