  • 1.  How do you track CA documentation

    Our company has multiple offices and is increasing the amount of Design Bid Build projects. Typically the Project Managers are responsible for tracking RFIs, submittals, field observation reports, etc. If you are an architect/PM in a similar environment, how do you keep a consistency in document control? Do you use one of the PM softwares? We are interested in an architect/PM friendly process.

    Our Construction PM's use ComputerEase Construction software for a lot of our Design-Build functions.  It has a very nice module for submittals, RFI's and other trackable items that has status, due dates, alerts, etc.
    It also ties the Architects, Accountants, and Construction Managers together pretty well.

    We had similar problems in our Facilities Management Department for a while, but now seem to be getting it under control.  We have a contract with Submittal Exchange, which is a statewide company.  All submittals including final drawings, RFI's, CCR's, etc are sent through them.  A-E's, Contractors and Owners have access to the site.  It works very well.

    There is a program known as ProLog that keeps track of it all and of which most contractors are familiar.  It works well and keeps track of all CCA document correspondence; Field orders, supplemental instructions, change orders, field reports, etc. There is 24/7 tech support as well.  It has a yearly subscription fee but it is well worth it.

    We use NewForma for our projects as our Electronic Document Management software.  We use it also for CA activities, RFI's, Electronic Shop Drawing review and transmission, Field Observation Reports and the like.  It integrates pretty easily with Outlook (as we use it for Email storage) and our standard windows explorer project filing folder system.  We have used Prolog, ConstructWare and Buzzsaw previously on other projects and evaluated those before selecting NewForma.  We found NewForma user-friendly from an Architect and Client perspective.

    We're starting a trial use of ProCore, simpler and cheaper than ProLog, with seemingly just as  much functionality.  Runs off their servers, and data stored in the "cloud".  Too soon to tell.

    Gary,

    I've used Constructware with success when working with Design-Build partners, such as Balfour Beatty Construction.  It has a little learning curve on everyone's part, but is a good tool when implemented and used consistently.
