Could fewer meetings actually improve project outcomes?

  • 1.  Could fewer meetings actually improve project outcomes?

Some firms are experimenting with "no-meeting" days. Would this help or hurt your team's productivity?

YES!  It gives my team the elbow room to do their jobs and collaborate with their peers without calling for meetings that are marginally productive most of the time.

Maybe! I discovered early in my career that when things went south on a project, a lack-of or flaw-in communication was often the problem.  However, attendance by the entire design/construction team is not always necessary. Not everyone is needed at every meeting; meetings flow better when you have the right people dealing with the current hot issues.  And, it helps to have a well-prepared and detailed agenda circulated prior to the meeting.

    I agree.

I also learned that when projects go off track, poor communication is often the root cause. T

Depends! Meetings are good for firm morale and helps keep people on the same wave.

So many people say we need less meetings, but meetings are necessary and valuable.  Much of the problem is that most of us never receive training on how to organize, conduct, facilitate and follow-up from meetings - and those that have learned either forget or don't use the tools we have.  One of my favorite books is Death by Meeting, by Patrick Lencioni.  It is a quick read and outlines the 4 basic types of meetings: Check-in, Tactical, Strategic, Workshop.  Each has a different duration, format, purpose and goals.

When we are thoughtful in the organization, preparation, facilitation and follow-up from meetings, they can be incredibly valuable tools. When we are not, meetings are an incredible time suck that wastes one of the only recoverable asset we have - time.  My challenge to all (including myself) for 2026 is to Meet Better.

I totally agree. Read more of his books also to get a better full picture of what works and what does not.
